Application Description

  • The RCTC WCOnline Directory Export application is a Power App built and supported by the RCTC IT Department.
  • This application exports restricted student directory data from ISRS only for use with the WCOnline Mass Client Import.

Who Can Use This Application

  • Access to this application is restricted to ASC staff approved by the ASC manager.

Roles and Responsibilities

RCTC IT Department

  • Provides and maintains the WCOnline Directory Export application
  • Manages access to the RCTC WCOnline Directory Export application after approval from the ASC manager

Academic Success Center (ASC) Staff

  • Run exports and update the WCOnline client list
  • Maintain the security of restricted student data
  • Follow applicable data retention policies for records stored in WCOnline

Where This Fits in the Process

  1. ASC staff run the WCOnline Directory Export application
  2. The application generates a CSV file
  3. The CSV is uploaded into WCOnline using the Mass Client Import tool
  4. The CSV file is deleted after the import is complete

Data Classification and Handling Requirements

Restricted Data – Handling Requirements

This export contains Restricted student directory data.

You must:

  • Use the file only for the WCOnline mass client import
  • Download the file only to secure, college managed devices
  • Delete the CSV file after the import is complete

You must not:

  • Share or forward the file
  • Store the file long term
  • Use the data for any other purpose

All users must follow campus policies for handling restricted student data.

Common Questions

Can I keep a copy of the CSV file for reference or troubleshooting?
No. The file must be deleted after use.

What if I need the data again?
Re-run the WCOnline Directory Export application.

Data Included in the Export

The export includes the following student directory fields:

  • First Name
  • Last Name
  • StarID
  • RCTC Email Address

Notes

  • Students with privacy flags are excluded
  • No additional student data is included
