Absence Entry - Campus Closing / Miscellaneous

Special instructions for entering absences in Workday time sheet for weather-related campus closings and "Miscellaneous".

  • To enter a snow day onto your time sheet, employees are instructed to select miscellaneous leave (MSL) on their time sheet for hours they were scheduled to work, but did not work due to a campus closing.  MSL is entered like a vacation or sick leave absence request, and hourly employees should see it as an option by selecting 'Absence' from main menu, then 'Time Off', then 'miscellaneous leave (MSL)'

Step by Step Instructions:

  1. Log into Workday.
  2. From the Menu, select Absence:
    Absence Menu in Workday
  3. Then Request Absence:
    Request Absence in Workday
  4. Select the day of closing, and then "1 Day - Request Absence":

  5. Select Time Off. Then scroll down or type in "Miscellaneous" to find and select Miscellaneous Leave:

  6. CAVEAT: For those employees where were NOT schedule for an 8 hour shift - select "Edit Quantity Per Day", and adjust the hours to the hours for which you were scheduled. For Example, if you were scheduled 4 hours, enter 4 in both fields. Then select Done. Then Submit for approval as in step 7.

  7. Verify information, date, etc. are correct, then select Submit for approval:

Reminders about MSL (Miscellaneous Leave):

  • Hours worked (either from home or if the person had to report to campus for their job even though the campus was closed) are reported as REG. MSL is for hours the person was scheduled to work but did not work due to the campus closure.
  • If you already had leave planned for the time the campus is closed, employees cannot change to MSL to get paid and/or not have their leave balances reduced.

  • Anyone paid a biweekly salary using the earn code RGP would NOT report the MSL in Workday. MSL is not entered into SEMA4 for employees who are paid using the RGP earn code. They will be paid their regular biweekly salary.
