Set Primary Contact Card in Microsoft 365 / Outlook Email

Audience

  • Employees attending more than one MinnState college or university.
  • Employees who have switched jobs / locations within Minnstate.

Overview

If you attend / work at more than one Minnstate college or university (example: RCTC and Riverland, RCTC and Winona State) you will be issued an email address (and other contact info) for each respective college or university.  Also, if you have recently switched jobs / locations you may have contact information listed in Outlook Email that is from the previous institution (Title, Company, Office Location, Phone Number, Email).

Issue

The contact information listed in Outlook Email (Title, Company, Office Location, Phone Number, Email) is different than what you are expecting (example: riverland.edu vs. rctc.edu).

Resolution

You can set your PRIMARY contact card info in Microsoft 365 / Outlook Email.  This is what others see when they hover over your email address or search within Contacts in the Microsoft 365 environment (example: Outlook).

Before you begin...

Make sure you are able to sign into Minnstate eServices with StarID and password.

Instructions

  1. Visit: https://eservices.minnstate.edu/employee/public/secure/main/#/institutions/0306/person
  2. Log in with Star ID credentials.
  3. Click the "My Settings" tab.
  4. At the bottom of the screen, you'll see "Default Institution".
  5. Select "Rochester Community and Technical College" from the menu. 
  6. Click the "Save" button.

Result

Your primary contact card in Microsoft 365 will be set to the Minnstate institution of your choice. Preferably RCTC.
